How we collect, use, and protect your information.

This Privacy Policy explains how Gathered Hands (“Gathered Hands,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you use our website, applications, and services (the “Platform”). By using the Platform, you agree to the practices described here.

1. Information We Collect

1.1 Information You Provide

  • Account details such as name, email address, password, and account type.
  • Profile information, including prompt responses, photos, audio clips, qualifications, skills, and work preferences.
  • Household and family details provided by family members, such as guardians, household composition, and job requirements.
  • Messages and applications exchanged through the Platform.
  • Payment information, which is processed by our payment processor; we do not store full card numbers.

1.2 Information from Background Checks

For nanny accounts, we work with a third-party consumer reporting agency to conduct background checks. With your authorization, that agency collects and reports information used to determine eligibility to apply to jobs. We receive the results and status of these checks.

1.3 Cookies

We set cookies to keep you signed in. They hold your session with our identity provider and nothing else, and they are set whether or not you accept the cookie notice.

If you accept the cookie notice on our public pages, we also load Google Analytics and Google Tag Manager to understand how those pages are used. They set their own cookies and send Google the pages you view, the approximate region you are in, and the type of device and browser you use. We have turned off Google signals and ad personalization, so this data is not used to build an advertising profile of you or shared for that purpose. If you decline, nothing loads and no such cookie is set. We do not run session-recording tools and we do not set advertising cookies. Standard server logs are generated by our hosting provider in the ordinary course of serving the site.

2. How We Use Your Information

  • To create and manage your account and membership.
  • To operate core features, including profiles, search, messaging, job posting, and applications.
  • To process payments and manage recurring subscriptions.
  • To conduct and process background checks for nanny accounts.
  • To review, approve, and moderate accounts and content.
  • To communicate with you about your account, transactions, and updates.
  • To detect, prevent, and address fraud, abuse, and security issues.
  • To comply with legal obligations and enforce our Terms.

3. How We Share Your Information

We do not sell your personal information. We share it only as described below:

3.1 With Other Members

Your profile and certain account information are visible to other members as part of how the Platform works. Family profiles and nanny profiles are open, meaning members can see one another’s published information. You control much of what appears in your profile, and you should not include information you do not wish to share.

3.2 With Service Providers

We share information with trusted third parties who help us operate the Platform. These include:

  • Our payment processor, which handles subscription billing and stores payment credentials.
  • Our background-check provider, a consumer reporting agency that conducts screenings for nanny accounts.
  • Our cloud infrastructure, hosting, storage, and content-delivery providers, which store and serve Platform data and media.
  • Our email and messaging providers, which deliver transactional and account communications.
  • Our customer-support tooling, which helps us respond to requests.
  • Our artificial-intelligence provider, which processes text and documents you submit to the optional drafting and resume-import features. When you import a resume, the file itself is sent for processing. These features run only when you use them.
  • Our mapping provider, which powers address autocomplete. When you type an address, what you type is sent from your browser to that provider so it can suggest matches.
  • Our analytics provider, Google, which receives page views and device information from our public pages only after you accept the cookie notice, as described in Section 1.3.

3.3 For Legal Reasons

We may disclose information if required by law, regulation, legal process, or governmental request, or where necessary to protect the rights, safety, or property of Gathered Hands, our members, or the public.

3.4 In a Business Transfer

If Gathered Hands is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Policy.

4. Data Retention

We retain personal information for as long as your account is active and as needed to provide the Platform, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we take reasonable steps to delete or de-identify it. Background-check results are retained in accordance with applicable law and our agreements with the reporting agency.

5. Your Rights and Choices

Depending on where you live, you may have rights regarding your personal information, including the right to access, correct, delete, or restrict its use, and the right to data portability. Residents of certain jurisdictions, including under the California Consumer Privacy Act and similar state laws, may have additional rights, including the right not to be discriminated against for exercising them. To exercise these rights, contact us using the details below. You can also:

  • Edit much of your profile and account information directly in your settings.
  • Deactivate your account at any time through the Platform.
  • Manage cookies through your browser settings.
  • Opt out of non-essential email communications using the unsubscribe link.

6. Security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and secure cloud infrastructure. No system is completely secure, however, and we cannot guarantee the absolute security of your information.

7. Children’s Privacy

The Platform is intended for adults aged 18 and over and is not directed to children. We do not knowingly collect personal information directly from children. Family members may provide limited information about minors in their household as part of a job posting; this information is provided by the adult account holder and is used only to operate the Platform. If you believe a child has provided us information directly, contact us so we can remove it.

8. International Users

The Platform is operated in the United States. If you access it from outside the United States, your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your jurisdiction.

9. California Privacy Rights

This section applies to California residents and is provided under the California Consumer Privacy Act as amended by the California Privacy Rights Act. It describes the categories of personal information we handle and the rights you have over it. Terms used here have the meanings given to them in that law.

9.1 Categories of Personal Information We Collect

In the twelve months before the date at the top of this policy, we have collected the following categories, all of them for the purposes described in Section 2:

  • Identifiers, such as your name, email address, postal address, telephone number, and the account identifier we assign you.
  • Personal information described in California Civil Code section 1798.80, such as your address, telephone number, and employment history.
  • Characteristics of protected classifications, where you choose to provide them, such as the languages you speak and, on a family profile, the ages of the children in your household.
  • Commercial information, such as the membership you purchased and your billing history.
  • Internet or other electronic network activity information: your activity within the Platform, such as when you were last active, how often your profile appeared in a search, and how many times it was viewed, and, if you accepted the cookie notice, the public pages you viewed and your device and browser type, collected by our analytics provider.
  • Geolocation data, limited to an approximate area derived from the postal code you give us. We do not collect precise location.
  • Audio, electronic, and visual information, such as profile photographs, gallery images, and any audio or video answer you record.
  • Professional or employment-related information, such as your experience, certifications, and any resume you upload.
  • Sensitive personal information, limited to health information a nanny chooses to enter about allergies. We do not use or disclose it for any purpose other than displaying it to the members you share your profile with, so the right to limit its use does not restrict anything we do with it.

We do not collect government identification numbers, financial account numbers, precise geolocation, biometric information, or the contents of your communications outside the Platform. We do not create profiles that infer your characteristics, preferences, or behaviour.

9.2 Sources and Disclosure

  • Sources: you, when you register, build a profile, post a job, or contact us; the consumer reporting agency that returns the outcome of a background check; and our payment processor, which returns the status of a payment.
  • Categories disclosed for a business purpose: every category above may be disclosed to the service providers listed in Section 3.2, each of which is contractually limited to processing it on our behalf. Information you place on your profile or in a job post is disclosed to other members as described in Section 3.1. Any category may be disclosed for the legal reasons in Section 3.3 or in the business transfer described in Section 3.4.

9.3 We Do Not Sell or Share Your Personal Information

We do not sell personal information, and we do not share it for cross-context behavioural advertising. We have not done either in the twelve months before the date at the top of this policy. Our analytics provider processes page views on our behalf as a service provider, with advertising features switched off, and only after you accept the cookie notice; declining the notice is how you withhold that. We run no advertising network, no advertising cookies, and no cross-site tracking, so there is no sale or sharing to opt out of and no Do Not Sell or Share link to provide. A browser signal such as Global Privacy Control or Do Not Track therefore has nothing to act on beyond the choice the cookie notice already gives you.

9.4 Your Rights

  • To know what personal information we have collected about you, where it came from, why we collected it, and who we disclosed it to.
  • To receive a copy of that information in a portable form.
  • To correct inaccurate personal information.
  • To delete personal information we hold about you, subject to the limits in Section 9.6.
  • To limit our use of sensitive personal information, though as explained in Section 9.1 we already confine it to displaying what you entered.
  • Not to be treated differently for exercising any of these rights. We do not deny service, change prices, or reduce quality because you made a request.

9.5 How to Make a Request

Email us at hello@gatheredhands.com with the request you want to make, or use the contact form on the Platform. We handle these requests by hand rather than through an automated portal, so please tell us plainly what you are asking for.

To protect your information we have to be confident the request is yours. We verify it by matching it against the email address on your account, and for a request to delete or to receive a copy we may ask you to confirm details only the account holder would know. We will not create an account or ask for identification we do not already hold in order to verify you. An authorised agent may act for you with your written permission, and we may still contact you to confirm it.

We aim to acknowledge a request within ten business days and to answer it within forty-five days. If we need more time we will tell you why before that period ends, and we will not take longer than ninety days in total.

9.6 Limits on Deletion

Some information survives a deletion request because the law allows or requires us to keep it. That includes records of payments and refunds, records connected to a safety report or an investigation, information we need to comply with a legal obligation or to establish or defend a legal claim, and security and operational logs. Messages you sent to another member, and posts you made in a community space, may remain visible to the people you sent them to, because they are part of that other person's record as well as yours. Where we keep information for one of these reasons, we keep only what that reason requires.

9.7 Shine the Light

California Civil Code section 1798.83 lets California residents ask a business about personal information it disclosed to third parties for those parties' own direct marketing. We do not disclose personal information for that purpose.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date and, where appropriate, provide additional notice. Your continued use of the Platform after changes take effect constitutes acceptance of the updated Policy.
